Log every purchase order in Ordered

When you place an order, create a card with the item name, quantity, supplier, and PO number. Attach the purchase order PDF so your receiving team knows what to expect.

Track shipments through In Transit

Move cards to In Transit once the supplier ships. Add tracking numbers and ETAs in the card description. Due dates trigger reminders if a shipment is late.

Verify and stock received items

When items arrive, move cards to Received for quality inspection. Use checklists to verify quantity, check for damage, and confirm packaging. Once verified, move to Stocked with the warehouse bin location.

Monitor Low Stock to prevent stockouts

Cards in Low Stock are your reorder signals. Label items as Priority, Reorder, or Seasonal to distinguish urgent replenishments from planned restocks. Move cards back to Ordered when the PO is placed.

How does this template help prevent stockouts?

The Low Stock column acts as your visual reorder trigger. When items drop below your threshold, move them to Low Stock. The column is impossible to ignore - unlike a buried spreadsheet row - so your team catches shortages before they become backorders.

Can I track multiple warehouses or locations?

Yes. Use labels to tag items by location or create separate boards for each warehouse. Flux's multi-board view lets you see all locations side by side, giving you a cross-warehouse snapshot without switching between tabs.

How do I handle damaged or returned items?

Log damage notes in card comments when items arrive. Use the undo feature if a card was moved to Stocked prematurely. Attach photos of damaged items directly to the card for supplier claims and insurance documentation.
